The challenge

This time the biggest difference with previous years was the layout of the central square. Previously, ACS and organizer Reed had their own stand separate from each other. This year, both stands, together with an IBTM World Newsroom and SSC / Playback Lounge, formed a central island with unambiguous design. It was the first time we implemented the Playback Lounge, where visitors could watch missed sessions, and it turned out to be a great success. Finally, there was a large LED screen (30 m W x 1.5 m H) above the stand that served as signage to lure visitors on the exhibition floor to the Knowledge Village.

By working together with Visualitys, a company that has developed foldable cubes in different heights, the four spaces were seperated in a playful way with the help of these blocks. Therefore the theme this year was “Building Blocks for a GREAT event” that symbolizes the building blocks that ACS can use for a successful event. The same blocks were also found in the design of the gates and stage decoration of theaters 1,2 and 3.

As a gimmick at the ACS booth this year we provided a modest stage with a Virtual Reality demo. Visitors could experience the effect of certain choices in a temporary or permanent room. Things like lecterns and stage setup were easily adjusted with the click of a button.

In the Fira Barcelona Gran Via convention center, ACS built the largest plenary room of this year. Even with 6,500 seats, the space was still too small for all interested delegates. In the end we even had to overflow our overflow room.

ACS is very proud to have been sub-contracted by apple tree communications to provide the Presentation Management System for MWC19. During the four days of the conference programme we managed almost 135 presentations divided over 7 conference rooms, all to the great satisfactory of the customer.

On the photos the temporary plenary room for 5000 people that ACS has built up and decorated with AV. In addition, we also facilitated 28 smaller permanent rooms with AV. In terms of IT, we delivered all the hardware and software for the E-posters.

ACS transformed some of Fira’s exhibition halls into twenty temporary halls in total, including the plenary room where the ever-spectacular opening show takes place. The hall, with a capacity of up to 3000 people, was filled to the brim and even had some people following the show and presentations on the available overflow screens outside. In addition we fully supplied thirty meeting rooms with AV.

This year’s task was a particularly special one for ACS. Earlier in the year the company invested enormously in LED-lighting. ESC 2017 was the first congress to be completely equipped with more than 500 new LED lamps! ACS is currently the only company in the world capable of facilitating congresses and events of this scale entirely with LED-lighting.

A circus atmosphere was produced through creative use of fabrics and lighting, and the materials ensured that all areas were soundproof. The Village consisted of a central square, leading to three lecture and workshop theaters, each decorated to fit the theme, plus a Speaker Service Center and the inspiration hub with live news and update feeds to TV’s on the show floor.

Big Top was the biggest of the three theaters, equipped with cutting-edge technology, including 12m wide screen and an IT system that included presentation management, digital chairtables and a digital lectern. Lions’ Den allowed learning in an informal bistro setting and Circus School provided workshops in an open, stimulating environment.

All theaters were integrated with Eventresult’s presentation management system, session recording and overflow.

ACS’s innovative pop-up theatre concept was used to create 4 lecture and workshop theatres in the “ACS Knowledge Village”. Each theatre was finished to a specific theme and they were situated around a central garden square.

Furthermore the whole village was integrated with the exhibition floor through digital signage, giving visitors direct information about what sessions were taking place and coming up.

Apart from the ACS Knowledge village we constructed the Innovation Zone where startup companies were invited to display their innovative products and services. We revolved the conceptual and technical design of the Zone around an innovative video switching concept where exhibiting companies were allowed to temporarily take over the entire zone and pitch their ideas using all screens. Time was obviously evenly divided amongst all companies. The Izone was built in cooperation with one of our favorite exhibition construction companies, Servis Complet.

In addition, ACS and Eventresult were also onsite with their own booth ‘the ACS & Eventresult cocktail Lab’, where all visitors were served with delicious cocktails. The cocktail Lab was also the start location of this years’ organized guided tours, a tour to show the visitors an insight of the provided services, in and around the ACS Knowledge Village.
